Exclude books used in Plans and Applications from the Recents list on home page

Possibility for books used in Plans and Applications to be excluded from end users' Recents list in PAW home page (to prevent security and maintenance related issues).



One of our customers has a PA environment for which the task workflow and security is based heavily on using a combination of books in applications as well as element and cell security. The application status is set to inactive whenever the assets (books) related to that application are not yet ready to be used in the planning process. The folders containing the books are not directly visible to end users, as it is assumed that end users are only accessing the books via applications.

Recently we noticed that an end user had still managed to access a workspace book even though the application status had been set to inactive. After some investigation we assume this happened because the book used in the application had been automatically added to the user's Recents list in PAW home page.

Technically we do have cell security in place to prevent end users from providing input until the planning process has reached a certain phase, so in most cases this already addresses the issue. However, the "power users" would like some time for providing maintenance etc. and in these cases it would be good if we could make sure that the books are not visible to the end users during that time frame (without having to specifically remove the book/asset security since the application is already supposed to be inactive and therefore not visible).

    Updated to future consideration. The Planning Analytics product team would like to rework Plans and Application to support configurations where the contributor and reviewer users must interact with Workspace books only through the Plan or Application.
